How It Works: One Claim, Start to Finished
This page walks a single claim's documents through the loop — from the first notice of loss to a complete file on the adjuster's queue. The example is a property claim after water damage, but the same five stages apply to the documents behind any line of business.
Intake: arrival is a system event, not a favour
The first notice arrives with a form and two attachments, and a contractor's estimate follows by email the next day. In a manual process each piece would sit in a shared inbox until someone claimed it. In the loop, arrival is intake: each document is captured the moment it lands, tied to the claim, and queued for processing alongside every other arrival.
Nothing is sorted by hand, and nothing waits on a person noticing it. From this point on, each document's location and status are always known.
Classification & extraction: the documents are read
Next, the processing engine — MaxxOwl™ SI on the MaxxLogix platform — reads each document. Classification comes first: is this the first notice form, the estimate, an invoice? The engine decides from the document's layout, language, and content — not from a file name or a folder somebody chose.
Extraction follows: policy number, claim number, date of loss, the insured's name, and the estimate's line items and totals are lifted out as structured data. Skewed scans and multi-page attachments are handled as part of the read, and every extracted value carries a confidence level that the next stage puts to work.
Validation: data is checked against the policy record
Extracted data is only useful if it can be trusted, so the loop checks it before the file moves on. The policy number is resolved against the policy record. The insured's name and the date of loss are compared with what that record holds. Required documents are confirmed present, and totals are recomputed. A document that disagrees with the policy — or one that never arrived — is caught here, at intake, rather than in the middle of the adjuster's review.
Anything that fails a check becomes an exception: it leaves the straight-through path and is routed to a person together with the document, the extracted data, and the specific reason it was flagged.
Workflow: the complete file reaches the adjuster
A validated claim file moves into the adjuster's queue in Outcome Workspace™, complete: documents identified, data extracted, policy check done, exceptions listed with their reasons. The adjuster's work is the decision, not the assembly — each item is a task in a queue, with the document and its data side by side, and every action is recorded with a name and a timestamp.
If something stalls — an exception unanswered, a requested document still outstanding — the workflow knows. Reminders and escalations are part of the route itself, not a supervisor's memory.
Outcome: the finish is recorded, not assumed
When the file is complete, the loop closes on the paperwork: the claim stands assembled and verified, ready for the adjuster's decision, and the outcome — what got done with its documents — is written to the record: what was received, what was checked, what was excepted, and how long each stage took.
That record is the point. It is what Outcome Analytics™ reports on: volumes by document type, exception rates, stage-by-stage cycle times, and the outcomes each process produces. Improvement stops being a guess, because the loop keeps its own evidence.
The other front door: forms and portals
Not everything arrives as a document. A first notice submitted through a form or a portal — MaxxLaunch™ on the MaxxLogix platform — arrives as structured data already, and joins the same workflow at the validation stage. From there the loop treats both doors identically: checked, routed, worked, and recorded. Documents and data, one loop.
Same loop, every claim
Every claim your operation handles can be walked through the same five stages. The documents, checks, and queues change from line to line; the loop doesn't. That consistency is what makes the outcomes comparable — and what makes a platform different from a pile of point tools.
